How to use icons in invoices

    Pick a print-safe color

    Dark gray or your brand color both print well. Very light colors can disappear on office printers.

    Download 128px PNGs for on-screen invoices, or 1024px for crisp print. The transparent background works on any template.

    Insert into your template

    Word: Insert, Pictures. Excel: Insert, Pictures, Place over cells. Google Docs and Sheets: Insert, Image. Size each icon to your text height.

    Save as PDF

    Export the invoice as PDF before sending. Icons and layout stay exactly as you placed them.

Tips

  • Use icons only for the contact block and payment section. The line items should be plain text and numbers.
  • Keep the icon and its label on the same line, for example a phone icon then the number.
  • Reuse the same icons on quotes, invoices and receipts so your paperwork looks like one system.
